Booking & Cancellation Policy

Deposit & Balance

• To reserve your spot, a $500 USD deposit per person is required at the time of booking.
• The remaining balance is due 30 days prior to your retreat start date.
• If your balance is not received by the due date, we reserve the right to release your booking and retain your deposit.

Cancellation Policy

We understand that plans can change, and we aim to keep our policy as fair and transparent as possible.

• 45 days or more before your retreat: Your deposit is fully refundable
• 45–30 days before your retreat: Your $500 deposit is non-refundable
• 29 days or less before your retreat: The full payment is due, and all payments are non-refundable

However, we understand that unexpected situations can arise. 
In cases such as illness, family emergencies, or significant travel disruptions, we offer a 50% refund of your retreat payment, with valid supporting documentation (e.g. medical certificate, employer letter, or airline notice).

Why we have this policy

As a small, experience-led retreat, last-minute cancellations can be difficult to fill. When a space goes unused, we not only lose that booking, but we also remain committed to our local partners and team.

The portion we retain helps cover these committed costs and ensures we can continue supporting our community and delivering the Waluaa experience at the level we’re known for.

Travel Insurance

We strongly recommend purchasing comprehensive travel insurance that covers trip cancellations, medical emergencies, and travel disruptions.

Waluaa is not responsible for any costs incurred due to delays, cancellations, or unforeseen travel issues.

Additional Terms

• Bookings are non-transferable without prior written approval.
• No refunds or credits are given for unused portions of the retreat (including missed meals, activities, or early departures).
• We reserve the right to make reasonable adjustments to the itinerary, accommodations, or retreat format due to weather, guest numbers, or operational needs.
• Waluaa is not liable for changes or cancellations caused by events beyond our control, including weather conditions, natural events, or travel disruptions.
